Job Opening - Front Desk Receptionist


Position Summary

The Front Desk Receptionist is the first point of contact for all visitors including parents, staff and alumni. This role involves managing visitor protocols, handling deliveries, and providing administrative support while ensuring the safety and security of the school environment. The ideal candidate will be professional, organized, and capable of managing multiple tasks in a busy school setting.

DUTIES/RESPONSIBILITIES

  • .Greet and welcome all visitors in a professional and friendly manner.
  • Manage visitor check-in using the Raptor System, requiring all visitors to sign in with a driver’s license. Coordinate visitor notifications, alerting the host staff member that their guest has arrived.
  • Control building access by using the electronic door release system and ensuring security protocols are followed. Enforce student entry/exit rules, ensuring students only use the Gym Lobby doors unless accompanied by a parent/teacher or using mobility aids (crutches, wheelchairs, etc.).
  • Respond to emergencies according to established protocols, including using designated buttons for contacting the Dean or triggering a Code Red alarm for potential immediate threats.
  • Manage incoming phone calls on a multi-line system, using the standard greeting, transferring calls, and taking messages. Provide general information to inquiries when appropriate from the public, staff, students, and parents.
  • Handle mail and deliveries, receiving, sorting, and distributing packages and internal mail; notifying recipients of package arrivals.
  • Provide administrative support to the Advancement team including credit card reports, database support, and managing meeting schedules.
  • Assist with guest internet access by managing guest login credentials via the Riverbed Xirrus Management system.
  • Adhere to scheduled coverage, working the hours of 7:30 a.m. – 4:00 p.m.
QUALIFICATIONS
  • Experience in a reception, front office, or customer service role is preferred.
  • Proficiency in using multi-line phone systems and standard office equipment.
  • Proficient in Microsoft Office, Google Mail, and ability to learn new software.
  • Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • A professional appearance and demeanor, with a positive customer service attitude.
  • Ability to handle confidential information with discretion and remain calm during stressful or emergency situations.
